In the the "Session assignment" and "Participants list" tab of an event, you will be able to view your users' status of session and manage their participation. We will go over the different status of each section in this article.
β
To view a user's status for a session, select the session in the dropdown on top of the screen.
β
β
status "<none>"
The user has not interacted with the session, has not been assigned or his interest got declined.
status "ASSIGNED"
The user is assigned by an admin or manager for the session.
An assignment does not take up a spot and can not be cancelled by the user via the application.
Users do not have have to have access to the event via the usergroups (visibility).
An admin or manager can still cancel the assignment via the "Participants List".
Once the session has past, assigned users can be confirmed via the "Participants List".
User can not be assigned once a session has past.
status "REGISTERED"
The user has registered via the application and has taken up a spot for the session.
A registration can be cancelled by the user or by a manager/admin via the Participant's tab
A registration can be overwritten by assigning the user. This will free up his spot and make it so he is unable to cancel.
Once the session has past, registered users can be confirmed via the "Participants List".
Users can no longer register once a session has past.
status "CANCELLED"
The user was assigned or registered to a session but his registration/assignment was cancelled.
The user can still be assigned or registered again after his participation is cancelled.
The user will be notified via mail whenever his participation is cancelled.
status "CONFIRMED"
You can confirm users attendance to a session once the session has past via the "Participants List".
Keep in mind, this can only be done for registered or assigned users.
Once confirmed, the status "confirmed" can not be changed by user, manager or admin.
status "INTERESTED"
When a session is made available to a user and the session is full or the amount of spots is set to zero, users will be able to show interest in a session.
When this status is visible next to the user, the admin or manager can decline the interest or assign a user to session.
Assigning a user (after interest is shown)
Assigning a user after interest is shown will have the same effect as directly assigning users:
The user will not be able to cancel his participation to the session, only the manager or admin.
The session will be assigned regardless, the usergroup expression set under "visibility".
The assignment of the session will not take up a spot of the session.
The user is notified via mail of his assignment
Declining interest in a session
To decline an interest of a user in a session will:
remove the user's interest for the session (status will be reset to "<empty>")
The sessions will be made unavailable for the user in the application; the user can still register for other sessions, + the user can still be assigned to the declined session by the manager or admin.
The user will be notified via mail of the declination
